Business Email Software Ratings for Canadian SMBs

How we pick business email software for client projects, with the scores behind it.

Software ratings › Business email · Facts checked October 23, 2026 · 6 products scored

On our six-criterion rubric, Zoho Mail scores highest for a five-person Canadian business: a free tier, Canadian data centres, a French interface and 24/7 support on paid plans. Microsoft 365 and our own MapleMail follow. MapleMail leads on Canadian storage and price but loses points on French and published support.
Disclosure: Joel & Nanz Inc. builds and sells MapleMail. It is scored with the same rubric as everyone else and ranked by that score, including the criteria where it loses. No vendor paid to be listed, scored or ranked here.

How this comes up in client work

Email is usually the first system we touch in an engagement, because every AI assistant, receptionist and follow-up workflow we build sends from it. The client question is rarely "which is best". It is "we have six people on a mix of personal Gmail and an old host, what should we move to?"

For that brief we weight the criteria equally and look at the plan a five-person team would actually buy. Where a client already lives in Word, Excel and Teams, we tell them to stay on Microsoft 365 even though it scores lower on price, because a migration that breaks their documents costs more than the subscription saves.
