Expense Tracking Software Ratings for Canadian SMBs

How we pick expense tracking software for client projects, with the scores behind it.

Software ratings › Expense tracking · Facts checked October 23, 2026 · 5 products scored

On our rubric, our own MapleExpense ranks first for a small Canadian team (4.7 out of 5, ahead of Zoho Expense at 4.0). It scores higher on price, Canadian data, GST/HST/ITC handling and support, and codes receipts to GIFI lines for the T2. Zoho Expense still wins on French, with a Canadian French interface the vendor confirms. Expensify and Dext score well on support but do not publish Canadian data storage.
Disclosure: Joel & Nanz Inc. builds and sells MapleExpense. It is scored with the same rubric as everyone else and ranked by that score, including the criteria where it loses. No vendor paid to be listed, scored or ranked here.

How this comes up in client work

Document processing is one of our most common automation projects: invoices, receipts and claims read automatically and matched to transactions. Before we build anything, we check whether an off-the-shelf expense tool already covers the client's needs, because a subscription is cheaper than custom work.

For the scores below we use a team of five submitting a normal month of receipts. Where a client's bookkeeper already works in Xero or QuickBooks Online, the capture tool that feeds it best usually wins, regardless of score.
